Role Overview:
The Front Office Executive will be responsible for ensuring smooth day-to-day office operations, supporting business development through client outreach, and coordinating project execution. This is a multi-functional role requiring strong organizational, communication, and management skills.
Key Responsibilities:
- Manage and oversee daily office operations to ensure efficiency and productivity
- Handle administrative tasks such as documentation, record-keeping, vendor coordination, and office supplies
- Maintain discipline, workflow structure, and internal coordination across teams
- Support HR-related activities including attendance, onboarding coordination, and employee records
- Ensure proper maintenance of office infrastructure and facilities
- Assist leadership in operational planning and execution
- Conduct outbound calls to a provided database of potential clients
- Introduce company services and generate interest/leads
- Maintain and update CRM/database with call outcomes and client responses
- Schedule meetings or follow-ups for the sales/design team
- Coordinate with marketing/sales teams for lead conversion
- Coordinate with internal teams to track ongoing projects
- Ensure timelines, deliverables, and quality standards are met
- Communicate with clients for updates, feedback, and approvals when required
- Identify bottlenecks and proactively resolve operational or project issues
- Maintain project documentation and reporting for management review
Qualifications Required:
- Strong organizational and multitasking abilities
- Excellent communication and interpersonal skills
- Basic understanding of sales and client handling
- Proficiency in MS Office / Google Workspace
- Ability to handle pressure and manage multiple responsibilities
- Problem-solving mindset with attention to detail
- Bachelors degree in Business Administration or related field
- 25 years of experience in administration / operations / coordination roles
- Experience in handling client communication and project coordination is a plus
