Job Description

Solmar Development Corp. is a Vaughan based real estate development company, is looking to add a a Sales & Legal Administrator to join the team. The candidate needs to be responsible for supporting the sales team and legal processes related to residential low-rise, high-rise and home sales. This role ensures accurate data management with Newstar, compliance with contractual obligations, and smooth coordination between sales, legal and finance teams.

Key Responsibilities

  • Responsible for supporting the sales team and legal processes related to residential low-rise, high-rise, home sales.
  • Ensures accurate data management within Newstar, compliance with contractual obligations, smooth coordination between sales, legal and finance teams.
  • Manage Agreements of Purchase and Sale (APS) and related documentation.
  • Track deposits, upgrades, and amendments to ensure accuracy and completeness.
  • Maintain lot inventory, pricing updates and release data in the system.
  • Support sales representatives with documentation, reporting and file management.
  • Record and track all commission and co-broker commissions and prepare PO's for all commissions.
  • Review Agreements of Purchase and Sale for completeness and compliance.
  • Coordinate with external lawyers, integral legal teams, and purchasers on required documentation.
  • Manage key dates (rescission periods, conditional periods, closing timelines)
  • Prepare amendment forms, assignment documents, and other legal addenda and ensure all legal documents are properly executed, stored, and retrievable.
  • Ensure all transactions comply with regulatory requirements and company policies.
  • Maintain accurate digital and physical records of all sales files and audit of the files regularly to ensure completeness and readiness for closing.
  • Support internal audits and reporting requirements.
  • Track and reconcile deposits in coordination with finance/accounting.
  • Generate reports from Newstar related to sales, inventory, and purchaser data.
  • Monitor outstanding items (missing documents, unpaid deposits, etc.)

Required Skills & Experience:

  • Experience with Newstar is a must have.
  • Strong understanding of residential real estate transactions and legal documentation.
  • High attention to detail and organizational skills.
  • Ability to manage multiple files and deadlines simultaneously.
  • Strong communication and coordination skills.
  • Law clerk experience is preferred but not mandatory.

Salary: $68,000
