The Role
The Senior Operations Coordinator is a vital generalist who provides high-level support for SOAR’s initiatives and programs. Reporting to the Director of Operations, you will manage internal workflows and coordinate with a national network of partners. This role is about more than logistics; it’s about ensuring our mission-driven goals are met with clarity, empathy, and efficiency. You love being the ‘go-to’ person who has a finger on the pulse of the organization, and you use all of your skills and talents to strengthen your team’s capacity.
Key Responsibilities1. Program & Project Oversight
- Execution: Support the implementation of specific projects from inception to completion, ensuring all milestones are met on schedule.
- Workflow Design: Contribute to the development and implementation of internal systems and processes to streamline departmental operations.
- Process Documentation: Maintain and improve Standard Operating Procedures (SOPs) to ensure organizational sustainability and scalability.
2. Communications & Impact Tracking
- Data Management: Collect data and maintain secure databases to track metrics and outcomes.
- Reporting: Assist in preparing reports as needed. Lead reporting to funders and coordinate the gathering of pertinent information.
- Information Sharing: Facilitate proactive, seamless information sharing among team members to ensure organizational and project alignment.
- External Liaison: Maintain positive and professional connections and interactions with our community of partners, vendors, and service providers.
3. Financial & Resource Administration
- Fiscal Oversight: Track project spending against approved budgets and identify cost-saving opportunities.
- Finance Support: Support finance in receipt gathering, expense submission, and other administrative tasks
- Grant Support: Provide technical details, reporting support and impact data needed for grant applications and renewals.
- Event Logistics: Coordinate logistics for workshops and outreach activities, including venue booking and accessibility considerations. Tracking & recording speaking engagements including calendar, attendees and follow up
4. Leadership & Team Support
- Mentorship: Provide regular troubleshooting support and mentorship to other team members.
- Strategy: Participate in planning sessions to offer insights on operational feasibility and program improvement.
- Meeting Coordination: Coordinating and organizing critical meetings for the organization
- Safety Coordination : Conduct risk assessments for offsite activities and ensure team members adhere to "Working Alone" safety protocols.
Candidate Requirements
- Experience: 3–5 years in program coordination or project management, ideally within the nonprofit, gender-based violence, or brain injury sectors. A clear, concise and professional communication style is required.
- Technical Skills: Proficiency (or willingness to become proficient) in Trello for task tracking, Slack for daily communication, and Zoom for virtual collaboration.
- Emotional Intelligence: Ability to set healthy boundaries and maintain emotional safety while working with sensitive subject matter.
- DEI Mindset: A foundational commitment to Diversity, Equity, and Inclusion, including a willingness to complete mandatory GBA+ and trauma-informed training.
- Independence: Proven ability to work effectively in a fully remote model, managing your time responsibly.
