Job Description

Remote Law Firm Administrator

Full-Time | Fully Remote (U.S.-Based) | $75,000 – $85,000

Keep a Consumer Rights Law Firm Running Smoothly — From Anywhere.

Schlanger Law Group LLP is a widely recognized consumer protection law firm. We represent people harmed by inaccurate credit reporting, identity theft, and other unfair and deceptive business practices, in both individual and class action litigation against banks, credit reporting agencies, and other financial institutions. We litigate in federal courts and arbitration forums in New York, New Jersey, and around the country.

We’re looking for a tech-savvy Law Firm Administrator to manage the administrative and operational backbone of our firm. This role carries significant autonomy. You’ll report to the Managing Partner and work collaboratively with our intake, marketing, paralegal, and attorney teams.

Why Schlanger Law Group?

  • Mission-Driven Work: Everything we do protects real people from misconduct by financial institutions and credit reporting agencies.
  • Significant Autonomy: We need someone who can see what needs to happen and act on it.
  • Modern Tech Stack: We use Salesforce, NetDocs, and AI tools. The technology available to law firms is changing fast, and we’re looking for someone who sees that as an exciting opportunity, not a headache.
  • Fully Remote: Work from anywhere in the U.S. (But if you want to work from our office in Rochester, that is fine, too!)

The Work

You’ll manage the administrative and operational functions that keep the firm running, so our attorneys and paralegals can focus on the legal work

Operations & Systems Management

  • Manage and optimize the firm’s Salesforce CRM, including data integrity, reporting, and workflow automation.
  • Administer the firm’s document management system (NetDocs).
  • Develop and maintain standard operating procedures (SOPs) for firm operations.
  • Identify opportunities to leverage technology — including AI tools — to streamline operations.
  • Manage vendor relationships, subscriptions, office supplies, and technology procurement.

Financial & Business Administration

  • Manage accounts payable and receivable.
  • Handle billing and basic bookkeeping in coordination with outside accountants.
  • Coordinate payroll processing.
  • Process expense reports and maintain firm financial records.
  • Track and manage budgets for operations and technology.

Human Resources & Employee Operations

  • Manage employee onboarding and offboarding.
  • Coordinate benefits enrollment and employee inquiries.
  • Maintain personnel records and ensure compliance with employment requirements.
  • Track PTO, leave requests, and attendance.
  • Support recruitment efforts, including posting positions, coordinating interviews, and managing candidate communications.

Settlement Administration & Team Coordination

  • Coordinate settlement administration.
  • Keep a distributed team spanning multiple time zones aligned and informed.
  • Handle confidential information with discretion.

What We Require

  • 5+ years of experience in office management, operations, or administration, preferably in a law firm or professional services environment.
  • Demonstrated proficiency with CRM platforms (Salesforce strongly preferred) and document management systems.
  • Advanced proficiency in Microsoft Word and Adobe Acrobat. (We don’t mean to be rude, but we’re a law firm — you should be comfortable with things like document comparisons, tables of contents and authorities, section breaks with independent page numbering, footnotes, and watermarks in Word, and PDF portfolios, Bates stamping, OCR, password protection, and digital signatures in Adobe. You don’t need to have used every one of these features, but if most of these terms are unfamiliar, this position isn’t the right fit.)
  • Experience with HR functions including onboarding, benefits coordination, and personnel recordkeeping.
  • Strong organizational skills and the ability to manage multiple priorities independently.
  • Strong written and verbal communication skills.
  • A track record of working successfully in a fully remote environment.
  • Must be based in the United States.

Strongly Preferred

  • Salesforce Administrator certification or equivalent hands-on experience building reports, dashboards, and automations.
  • Familiarity with NetDocs or comparable document management systems.
  • Experience with legal billing software or law firm financial management.
  • Experience with legal e-filing platforms and court procedures.
  • Comfort with AI tools and a genuine curiosity about using technology to work smarter.
  • Paralegal certificate or experience in a litigation support role.

Who You Are

You’re organized, tech-forward, and you take initiative. You see a broken process and you fix it. You take direction well but don’t need to be managed closely.

You understand that what we do makes a real difference in people’s lives, and you want to help make it work.

Compensation & Benefits

  • $75,000 – $85,000 annually, commensurate with experience
  • Medical, dental, and vision insurance
  • 401(k)
  • Paid time off
  • Fully remote work arrangement
