Position Overview

We are looking for a proactive and detail-oriented Global HR & Admin Coordinator to support the HR Director in managing global HR and administrative operations across multiple regions.

This role serves as a coordination hub between headquarters and regional HR/Admin teams, ensuring smooth communication, accurate data consolidation, and operational alignment worldwide.

The ideal candidate is structured, data-driven, and comfortable working in a cross-cultural and multi-time-zone environment.

Key Responsibilities

🌍 Global HR Coordination

  • Support the HR Director in overseeing global HR operations
  • Coordinate with regional HR teams to collect and consolidate updates
  • Prepare global HR reports (headcount, hiring status, workforce changes)
  • Track global recruitment progress and hiring approvals
  • Follow up on action items from global HR meetings
  • Assist in aligning HR policies and reporting standards across regions

🏢 Global Admin Coordination

  • Liaise with regional Admin teams on office-related matters
  • Consolidate global office updates (leases, vendors, workplace changes)
  • Track major administrative changes across countries
  • Support standardization of admin processes and documentation
  • Assist with global vendor coordination when required

📊 Data & Reporting

  • Maintain global headcount tracker and recruitment dashboard
  • Ensure data accuracy and consistency across regions
  • Support workforce planning data collection
  • Prepare monthly and quarterly HR/Admin summaries for management review
  • Assist in HR data analysis and trend reporting

🛠 Operational & Project Support

  • Support global HR/Admin process improvement initiatives
  • Assist with documentation, SOP creation, and template standardization
  • Support cross-regional HR and administrative projects
  • Handle confidential information with high professionalism

Qualifications

  • Bachelor’s degree in HR, Business Administration, or related field
  • 2+ years of HR operations, HR coordination, or administrative experience
  • Strong Excel / data consolidation skills (must-have)
  • Excellent communication and follow-up ability
  • Experience working in a multi-country or matrix organization preferred
  • Fluent English required; additional languages(Chinese/Mandarin) are a plus
  • High level of integrity and confidentiality
