The Organization

Since 1981, Ronald McDonald House Toronto has served as a place to call home for families with seriously ill children undergoing treatment. Ronald McDonald House Toronto encompasses a House for 81 families in downtown Toronto and seven Family Rooms in hospitals across the Greater Toronto Area and in Sudbury. The families we serve come from throughout Ontario, across Canada and around the world.

We are looking for a Talent & Volunteer Programs Coordinator to join our growing team at Ronald McDonald House Toronto (240 McCaul Street).

The Role

We are seeking a Talent & Volunteer Programs Coordinator to support the growing Talent Programs and Volunteer Engagement portfolio at Ronald McDonald House Toronto.

Reporting to the Manager, Talent & Volunteer Programs, this role plays a key part in delivering high-quality volunteer & talent experiences, supporting recruitment & development initiatives, and ensuring smooth coordination of engagement, training, and program logistics.

This is a dynamic, hands-on role ideal for someone who is highly organized, people-focused, and excited about supporting both volunteers and staff through meaningful programs and experiences. While Ronald McDonald House Toronto offers a flexible work environment, this position requires regular on-site presence to support operations, training, and engagement activities.

Key Responsibilities Include

Talent Programs & Learning Coordination

  • Support the rollout of talent programs, including performance management cycle logistics (communications, tracking, follow-up), learning sessions, and leadership onboarding and development workshops.
  • Coordinate logistics for training/informative sessions (room booking, materials, registration, attendance tracking).
  • Maintain accurate learning & development records and prepare participation reports.
  • Assist in developing learning materials, presentations, and resources.
  • Support the implementation and documentation of the organizational competency framework (communications, tracking, data updates).

Volunteer Engagement & Lifecycle (VE)

  • Coordinate volunteer recruitment activities, including posting roles, screening applications, scheduling interviews, and conducting reference checks.
  • Support onboarding and orientation for new volunteers, ensuring all documentation, background checks, and training requirements are completed.
  • Maintain volunteer records in Volunteer platform (Volgistics), ensuring accuracy and compliance.
  • Support volunteer scheduling, communications, and day-to-day inquiries.
  • Assist with volunteer offboarding, exit surveys, and data tracking.
  • Reach out to inactive volunteers to understand barriers and support re-engagement.

Engagement (Staff & Volunteers) & People & Culture Support

  • Help plan and deliver engagement initiatives for staff and volunteers (recognition events, appreciation activities, wellness initiatives).
  • Support communications related to engagement programs, including newsletters, announcements, and event invitations.
  • Track participation and feedback to support continuous improvement.
  • Assist with the annual engagement survey and follow-up activities.
  • Provide administrative support to HR Operations during peak periods (e.g., onboarding cycles, training sessions, engagement initiatives).
  • Assist with staff recruitment logistics, including posting roles, scheduling interviews, and coordinating candidate communications, as needed.
  • Support HR processes such as maintaining staff training records, preparing onboarding materials, and coordinating mandatory training reminders.
  • Provide occasional coverage for the P&C Coordinator role during absences or high-volume periods (e.g., responding to inquiries, preparing documentation, updating HR systems).

Data, Insights & Reporting

  • Maintain accurate volunteer and talent program data, ensuring integrity and compliance.
  • Generate insights related to volunteer engagement, retention, and talent development outcomes.
  • Develop and maintain dashboards and reporting to support decision-making and continuous improvement.
  • Support HR Operations with data entry, reporting, and documentation related to staff onboarding, training compliance, performance management, and other metrics.

Program Administration & Continuous Improvement

  • Maintain program documentation, SOPs, and process guides for volunteer and talent programs.
  • Support cross-functional collaboration with other departments.
  • Assist with special projects that enhance the volunteer experience, talent development, or organizational culture.
  • Provide administrative support for budgeting, scheduling, and program planning.
  • Support People and Culture initiatives by preparing materials, coordinating logistics, and assisting with documentation for HR-led programs (e.g., onboarding, compliance trainings, recognition programs).
  • Assist with maintaining accurate staff and volunteer records in relevant systems (e.g., HRIS, Volgistics), ensuring alignment with P&C data standards.

Qualifications

Education & Experience

  • 1–3 years of experience in volunteer coordination, HR coordination, learning & development support, or related fields.
  • Experience supporting training, events, or program coordination is preferred.
  • Experience with volunteer management systems (e.g., Volgistics) or HRIS is an asset.
  • Diploma or degree in Human Resources, Volunteer Management, Business Administration, or related discipline.
  • Project Management experience is preferred.

Knowledge, Skills & Abilities

  • Strong organizational and time-management skills with the ability to manage multiple priorities.
  • Excellent communication and interpersonal skills; comfortable engaging with volunteers and staff at all levels.
  • Tech-comfortable and eager to learn new systems and tools.
  • Detail-oriented with strong data accuracy and documentation habits.
  • Customer-service mindset with a collaborative, solutions-focused approach.
  • Experience using data and insights to inform decisions and measure impact.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

The successful candidate will need to undergo a successful reference check, a satisfactory background check and immunization process as per hospital policies.
