Job Description

Reporting to the Controller, the Accountant is responsible for the accuracy and integrity of accounts receivable, billing, payment processing, and financial reporting functions. This role ensures that customer transactions comply with sales contracts and established accounting procedures, maintains complete and organized financial records, and supports the month-end and year-end close cycles. The Accountant serves as a key point of contact for resolving billing discrepancies with customers and for providing cross-functional support to operations, sales, and accounts payable. The ideal candidate brings strong numerical aptitude, a meticulous approach to documentation, and the ability to manage competing deadlines in a multi-entity dealership environment.

Accounts Receivable & Billing

  • Verify that customer transactions and invoices comply with applicable sales contracts, accounting procedures, and pricing agreements; provide timely feedback to operations and sales when discrepancies are identified.
  • Maintain the accounts receivable subledger with accuracy and completeness; ensure all transactions are posted in a timely manner.
  • Perform data entry of incoming payments; allocate receipts to the correct customer accounts and invoice lines.
  • Follow up on outstanding balances in accordance with the collection schedule; document all collection activity and escalate accounts as required.
  • Communicate with customers via phone and email to investigate and resolve billing discrepancies, irregularities, and misapplied payment transactions in a professional and timely manner.
  • Ensure accounts receivable customer files and records are maintained in accordance with established procedures and retention requirements.

Accounts Payable Support

  • Provide procedural support and backup to accounts payable for moderately complex vendor reconciliations as required.
  • Collaborate with the finance team to ensure accurate and complete vendor records and payment documentation.

Financial Reporting & Month-End Close

  • Complete all assigned month-end duties accurately and within the defined close calendar, including accruals, adjustments, and account reconciliations.
  • Record all business transactions in accordance with accepted accounting principles; prepare monthly, quarterly, and annual accounting entries and financial statements as assigned.
  • Advise the Controller on the content and accuracy of financial reports; flag variances or anomalies for review.
  • Provide information on expected incoming and outgoing cash flow requirements to support treasury and forecasting activities.

Year-End & Audit Support

  • Maintain accurate year-end working papers and spreadsheets in a format ready for internal or external audit or independent review.
  • Assist with audit preparation and respond to auditor requests for documentation, reconciliations, and explanations in a timely manner.
  • Review cash control procedures and support monitoring of asset safeguarding practices.

Documentation & Records Management

  • Maintain a complete and auditable trail of supporting documentation for all financial activities and transactions.
  • Organize and file all appropriate financial documents in accordance with company policy and applicable regulatory requirements.

Collect, interpret, and report on financial data as required by the Controller or senior leadership.

Qualifications & Education

  • Post-secondary degree or diploma in Accounting, Business Administration, Finance, or a related field; CPA designation or active enrollment is an asset.
  • 1–3 years of experience in an accounting or financial department, with exposure to AR, billing, and reconciliation; dealership or multi-entity experience is an asset.
  • Working knowledge of accounting principles, tax requirements, and financial reporting standards.
  • Proficiency in Microsoft Excel and accounting software (e.g., CDK, SAP, or equivalent ERP); familiarity with internal controls and audit processes is an asset.
  • Strong numerical aptitude with the ability to manage competing deadlines accurately and consistently. High level of integrity and discretion in handling confidential financial information.

Working Conditions

This is an office-based role with standard business hours. Additional hours may be required during month-end, quarter-end, and year-end close periods.
