Database Administrator for Trade Association Operations
Database Administrator will play a critical role in support of successful trade association activities with remote team/operations. This is a flexible full-time (40 hours/week) contract-to-hire hybrid position with the potential for a permanent position on our team. Focus on member centric communications, database management and daily operations functions with small but highly efficient and effective nonprofit association team.

Job Description
The Database Administrator will provide daily hands-on support to PTNPA team members and the entire PTNPA membership. Responsibilities include proactive and efficient scheduling of internal meetings, organizing and maintaining member related records and YM membership database information, reconciling financial documents, creating invoices and processing payments, member related report generation, written/verbal communication with team, partners and members, etc. This role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The Database Administrator will work closely with the remote five-person staff, key vendors and association members to provide excellent customer service and ensure the smooth functioning of the association’s operational activities.
Key Responsibilities :
Office Support : Answer phones, respond to emails, and manage general office correspondence. Organize and maintain organization’s records according to policies and procedures. Manage Team calendar and relevant industry event research/date input.
Data Entry and Reporting : Organize, maintain and update association database, committee data, member trends reports, event attendee lists and member directories. Prepare reports and information to be used in presentations for management and/or board meetings.
Member Relations : Provide administrative support to members related to website logins/password set-up and resets, proactively drive membership renewal process (invoicing, processing payments and creating member profile), track and report membership renewal data, event registration status, and update membership database, as needed.
External Communications : Assist in the distribution of specific communication materials for members and stakeholders, in close cooperation with team members.
General Administrative Tasks : As assigned.
Qualifications
1-3 years of administrative experience, preferably within a trade association, non-profit, or similar environment.
Strong proficiency in Microsoft Office Suite (Word, Access, Excel, PowerPoint, Outlook).
Excellent communication skills (both written and verbal).
