Job Overview

The Lead provides hands-on expertise in CRM operations, segmentation, imports, donation processing and integrations to ensure accurate, timely data supports fundraising, finance and marketing activities. They act as the primary point of contact for complex data and system issues, working closely with internal partners and external vendors.

The technical lead role leads and executes the majority of operational data activities, including data requests, segmentation files, imports, and system configuration work. The position also contributes to process improvements and develops documentation as capacity allows.

The Lead ensures CRM and associated systems remain well supported, stable, and integrated by troubleshooting issues, resolving data errors, and managing technical tasks as they arise. This role is essential to maintaining smooth day-to-day data operations that support fundraising, stewardship, and financial reconciliation across the organization.

What You’ll Be Doing

Campaign, Appeal, CRM Administration & System Support

  • Build campaign and appeal segmentation files, including complex targeting logic and coding structures
  • Produce constituent lists for direct mail, email, and digital campaigns
  • Work with third-party vendors producing campaign data files, donation forms, and segmentation outputs, and ensure deliverables are accurate and properly integrated into the CRM
  • Ensure external deliverables are accurate and properly integrated into the CRM
  • Upload and configure appeals, packages, and segmentation data in Raiser’s Edge and Luminate Online
  • Process offline donations through the CRM and ensure data is entered accurately and efficiently in accordance with departmental standards
  • Perform regular imports of data into the CRM through connector files and mapped imports
  • Configure and maintain integrations (e.g., ImportOmatic, Omatic Cloud, Luminate Connector) to ensure reliable, accurate movement of data between systems
  • Collaborate with other departments to ensure coding aligns with the General Ledger and all data-related business rules
  • Troubleshoot CRM issues, data errors, and system performance problems
  • Work with the business analyst to document key CRM configurations, data flows, and operational processes as capacity allows

Data Imports, Integrations & Mapping

  • Manage data imports from multiple sources (e.g., PayPal, Facebook, vendor files, events)
  • Configure and maintain ImportOmatic, Omatic Cloud, and the Luminate Connector
  • Resolve import failures, mapping errors, and integration discrepancies
  • Maintain data flow accuracy and troubleshoot sync issues across systems

Donation Processing, Monthly Donors & Payment Support

  • Troubleshoot payment failures, declined transactions, and donor billing issues
  • Process or coordinate credit card refunds, corrections, and duplicate resolution
  • Support monthly donor stability, including failed payment recovery
  • Ensure donation coding, batch accuracy, and data integrity for Finance reconciliation

Reporting, Queries & Data Requests

  • Build and troubleshoot queries, lists, and exports to support fundraising, marketing, and Finance
  • Prepare data extracts and reports required for reconciliation, audits, and operational reviews
  • Respond to routine and ad hoc data requests across the organization

Data Quality, Governance & Documentation

  • Maintain day-to-day data quality through corrections, deduplication, and hygiene activities

Qualifications

  • Experience working with CRM platforms, including Raiser’s Edge NXT and Raiser’s Edge Database View
  • Experience with Luminate Online, including donation forms, transactions, and data extracts
  • Hands-on experience with ImportOmatic, Luminate Connector, and Omatic Cloud
  • Experience managing data imports from multiple sources (e.g., PayPal, Facebook, third-party vendors, events)
  • Strong understanding of integration mapping, data flow configuration, and resolving sync issues
  • Experience building segmentation files, appeal structures, and coding frameworks
  • Knowledge of credit card donation processing, including transaction flows, errors, declines, and refund procedures
  • Ability to troubleshoot monthly donor issues, coding discrepancies, and payment failures
  • Strong analytical and problem-solving skills
  • Proficiency with advanced Excel and Regular Expressions for data transformation and mapping
  • Demonstrated ability to produce and troubleshoot queries, exports, and reports
  • Excellent attention to detail with a strong commitment to data quality and accuracy
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Effective communication and collaboration skills when working with colleagues and external partners
