Job Description

Open Housing Canada, part of the Green Analytics Group, is seeking a detail-oriented Administrative & Bookkeeping Coordinator to support core business operations across multiple entities.

This role combines financial record-keeping, executive administration, and governance support.

The position requires a high level of accuracy, organization, and discretion, with the ability to manage multiple workflows simultaneously.

Key Responsibilities

Bookkeeping & Financial Management

  • Maintain accurate and up-to-date financial records
  • Manage accounts payable and receivable, invoicing, and expense tracking
  • Perform bank and credit card reconciliations
  • Support monthly financial reporting and budgeting processes
  • Coordinate with external accountants for year-end reporting and tax filings

Administrative Support

  • Manage calendars, scheduling, and meeting coordination for leadership
  • Organize and maintain digital filing systems (financial, legal, and operational documents)
  • Assist with contract administration and document preparation
  • Support internal communications and workflow coordination

Meeting & Board Support

  • Prepare meeting agendas and materials
  • Record, transcribe, and summarize business and board meetings
  • Track action items and follow-ups
  • Maintain official records of board minutes and governance documentation

Operational Coordination

  • Assist with process documentation and internal systems organization
  • Support coordination across multiple business units
  • Ensure compliance with internal procedures and data management practices

Qualifications

  • 3+ years experience in bookkeeping, administration, or office coordination
  • Proficiency in Quickbooks accounting software
  • Strong working knowledge of Google Workspace
  • Excellent organizational and time management skills
  • High attention to detail and accuracy
  • Strong written and verbal communication skills

Preferred Qualifications

  • Effective communicator
  • Diploma or degree in Accounting, Business Administration, or related field
  • Experience supporting executives or board-level operations
  • Familiarity with Canadian accounting practices
