Job Summary
The Operations and Administration Support Executive serves as the central operational hub for Noble Education Group’s onshore team. This role is responsible for the high-speed processing of student documents, maintaining the integrity of master data records, and providing critical administrative support to the Sales, Client Relationship, and Collections teams. The primary goal is to eliminate bottlenecks in the enrollment pipeline by ensuring all application files are audited for perfection and that internal communication flows without delay.
Key Responsibilities
- Central Operational Support: Provide comprehensive administrative and data support to the Agent Relationship, Client Relationship, Collections, and Sales teams to ensure seamless daily operations.
- Document Hub Management: Receive, organize, and process all incoming student documents, ensuring they are disseminated to the correct team members immediately.
- Application File Audit: Support the admissions process by conducting final reviews of student files for completeness and accuracy before submission to partner institutions.
- Master Record Maintenance: Maintain 100% accurate and up-to-date master records for all students, agents, and clients, ensuring the database reflects the true status of every application.
- Reporting & Analytics: Prepare, update, and monitor daily performance data sheets and operational reports to help the Onshore Lead track team targets.
- Internal Coordination: Follow up with internal teams on "stalled" files, missing payments, or outstanding documents to prevent bottlenecks in the enrollment pipeline.
- Data-Driven Decision Support: Compile and share weekly trend reports (e.g., application volume, conversion speed) to support business efficiency and service standards.
- Status Tracking: Proactively track application statuses and institutional updates, ensuring that both the Business and Operations arms are informed of changes instantly.
- Compliance & Filing: Maintain a strict digital filing system and document control protocol in accordance with Canadian educational and organizational standards.
- Process Optimization: Identify delays in the current workflow and suggest administrative improvements to increase the speed of student onboarding and enrollment.
Qualifications
- Education: A Bachelor’s degree or Diploma in Business Administration, Data Management, or a related field (or equivalent professional experience in the international education sector).
- Experience: Minimum of 2–3 years in an administrative or operations role, preferably within the Canadian international education industry or a high-volume recruitment agency.
- Technical Proficiency: Advanced expertise in Microsoft Excel/Google Sheets (v-lookups, pivot tables) and deep familiarity with CRM systems for tracking complex sales and enrollment cycles.
- Document Control: Proven experience in document auditing and maintaining digital filing systems under strict compliance standards.
- Industry Knowledge: Working knowledge of Canadian educational institutional requirements and basic IRCC document standards is a significant asset.
