Salary : $55,000+ based on experience and qualifications
Work Hours: M-F 8am-5pm
Position summary:
The Project Coordinator will support the delivery of technical projects by managing scheduling, communication, documentation, and administrative tasks. Working closely with Project Engineers and the Service Manager, this role keeps projects organized, tracks progress, and keeps the client updated throughout. The Project Coordinator will work directly with the project team to ensure that projects are completed promptly and thoroughly.
Position responsibilities:
- Create new projects in project management software and assign project tasks accordingly as directed by the project team
- Coordinate all project calls and meetings including kickoff calls, pre-execution meetings, implementations, etc. Provide meeting notes and action items discussed in calls
- Serve as the primary point of contact for scheduling and administrative project questions.
- Provide routine project status updates to clients and internal teams using established templates
- Monitor projects for complete time/note entries, out-of-scope requests, and follow-up issues that arise; provide frequent updates to internal and external stakeholders
- Participate in all project calls and Zoom/Teams meetings
- Assist with administrative project execution tasks as needed
- Follow-up on all outstanding issues and coordinate resolution appropriately
- Coordinate project closing meetings as needed
- Other duties as assigned
Requirements
- 1–3 years of experience in project coordination, service coordination, or administrative support
- Highly customer focused with exceptional customer service, inter-personal, written and verbal communication skills
- Self-motivated, responsible, organized, detail oriented, quick learner, team player
- Excellent verbal and written communication skills
- Ability to work independently and within a team environment with a positive attitude
- Strong problem-solving skills
- Ability to manage and juggle multiple priorities effectively
- Detail‑oriented, proactive, and comfortable following structured processes
- Flexible and dependable
