Job Summary

We are seeking a highly organized Office Administrator to join our team. The ideal candidate will have a strong background in office management and administrative support, with excellent communication and organizational skills. This role is critical in ensuring the smooth operation of our office, managing schedules, ordering material, and overlooking blueprints. Someone who is familiar with Plumbing & HVAC would be preferred.

Responsibilities

  • Manage daily office operations, including front desk duties and multi-line phone systems.
  • Oversee schedule management and calendar coordination for team members.
  • Maintain organized filing systems and ensure proper project documentation is in place.
  • Takeoffs on both Plumbing & HVAC plans (can be taught if not 100% knowledgeable)
  • Prepare estimates for eligible plumbing & HVAC bids
  • Obtain pricing from multiple vendors on materials
  • Obtain submittals & specs on fixtures for each project
  • Facilitate effective communication within the team and with external partners
  • Ensure compliance with office policies and procedures
  • Submit required paperwork if needed to any building departments
  • Receive any material delivered to shop and double check if correct

Qualifications

  • Proven experience in office administration or a related field.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously.
  • Excellent communication skills, both verbal and written. (English, Portuguese, & or Spanish is plus)
  • Familiarity with QuickBooks preferred.
  • Ability to work independently as well as part of a team.

Job Type: Full-time

Pay: $20.00 - $30.00 per hour
