Position Overview:
We are seeking an experienced In-House Paralegal to join our team following a recent transition in the role. This position leads the paralegal services function and provides legal support across M Group, primarily supporting the Property Management team. The role includes preparing legal documentation and correspondence, conducting legal research, managing specialized applications, and representing the organization before tribunals and courts including the Landlord and Tenant Board, Human Rights Tribunal, Small Claims Court, and Provincial Offences Court.
The In-House Paralegal also oversees legal processes and support staff, ensures compliance with legislative requirements, delivers internal training on legal updates and best practices, and liaises with insurance brokers and adjusters on property damage and injury claims. This role requires a proactive professional with the vision to strengthen and evolve the paralegal function.
Key Responsibilities
- Provide legal advice and information within the scope of paralegal licensing.
- Prepare, file, and manage applications (e.g., non-payment, behavioral issues, property damage) and represent the organization before tribunals and courts.
- Conduct legal research and review/approve legal notices, correspondence, and documentation.
- Organize and manage legal files, track deadlines, and maintain accurate records and reporting tools.
- Triage incident reports, determine appropriate legal action, and coordinate next steps with internal teams and external partners.
- Liaise with insurance brokers and adjusters, support claims management, and assist with policy renewals and documentation.
- Collaborate closely with Property Managers, Accounting, and other stakeholders to advance legal matters.
- Oversee Legal Administration support, including hiring, training, and performance management
- Maintain legal tracking reports and provide regular updates across property portfolios
- Manage daily communications and support general administrative functions, including billing review and meeting participation
- Exercise sound judgment in legal processes, escalating complex matters as appropriate and acting on direction from leadership
Qualifications & Skills
- Paralegal Diploma from an accredited institution and Licensed Paralegal in good standing with the Law Society of Ontario.
- Minimum 5 years of experience in a paralegal role, with demonstrated experience in Landlord and Tenant, Small Claims, and Provincial Offences matters.
- Strong knowledge of Landlord and Tenant Board procedures, Small Claims Court processes, legal drafting, and legal research.
- Excellent written and verbal communication skills, with strong attention to detail.
- Highly organized with the ability to manage multiple files, deadlines, and priorities independently.
- Strong analytical thinking and problem-solving skills with a client-focused approach.
- Proficient in MS Office and legal software tools.
- Experience in property management or real estate law is considered an asset.
- Familiarity with property management systems and tribunal e-portals is an asset.
- Additional training or experience in dispute resolution, legal research, or tribunal advocacy is an asset.
