Payroll Specialist This role is responsible for ensuring the accurate, timely, and compliant execution of payroll operations for all employees across the organization.
The Payroll
Specialist plays a key role in maintaining payroll integrity, supporting HR and Finance teams, and ensuring employees are paid correctly on scheduled cycles. You will handle end-to-end payroll processing, from data validation to final reconciliation, while ensuring compliance with federal and state regulations. The position requires strong attention to detail, as well as the ability to manage sensitive employee data with discretion.
You will also act as a key point of contact for payroll-related questions and issue resolution. This is a fast-paced, detail-oriented role within a collaborative and compliance-driven environment.
Accountabilities: Process weekly, biweekly, or semi-monthly payroll cycles accurately and on time, ensuring all employee payments are correct and properly scheduled. Review and validate timesheets, bonuses, wages, deductions, benefits, and other payroll inputs for accuracy and completeness. Ensure proper calculation and application of taxes, withholdings, garnishments, and other statutory or voluntary deductions.
Maintain and update payroll records, employee data, and system entries in payroll platforms. Collaborate closely with HR on onboarding, terminations, compensation adjustments, and employee status changes. Reconcile payroll reports, identify discrepancies, and resolve issues efficiently and accurately.
Respond to employee payroll inquiries and provide timely, clear support regarding payroll matters. Support internal and external audits while ensuring ongoing compliance with applicable regulations. Manage direct deposits, benefits deductions, and garnishment processing.
Assist with year-end activities, including W-2 preparation and reporting requirements.
Requirements: ~13 years of experience in payroll processing or a related finance/HR operations role. ~ Solid understanding of payroll principles, tax regulations, and employee compensation structures. ~ Experience using payroll systems such as ADP, Paychex, or similar platforms. ~ Strong proficiency in Microsoft Excel and Google Sheets for reporting and reconciliation tasks. ~ High level of accuracy, attention to detail, and ability to meet strict deadlines. ~ Ability to handle confidential and sensitive employee information with discretion. ~ Strong analytical, organizational, and problem-solving skills. ~ Excellent communication skills and ability to collaborate across HR and Finance teams.
