Executive Assistant to General Manager
We are seeking a highly organized and proactive Assistant General Manager to support the daily operations of our business. This role requires a professional with strong administrative skills, excellent customer service abilities, and experience managing office functions. The ideal candidate will be detail-oriented, capable of multitasking, and proficient in various software tools to ensure smooth office and operational workflows.
Duties
- Assist in overseeing daily business operations and support senior management in strategic planning and execution
- Manage front desk responsibilities, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
- Maintain accurate records through data entry, filing, and bookkeeping using QuickBooks and Microsoft Office applications
- Schedule appointments, meetings, and events utilizing Microsoft Outlook Calendar and Google Workspace tools
- Prepare correspondence, proofread documents, and ensure accuracy in all written communications
- Handle administrative tasks such as filing, organizing documents, and managing office supplies
- Facilitate electronic signatures using DocuSign for contracts and important documents
- Support customer service efforts by addressing inquiries promptly and professionally
- Assist with clerical duties including typing, proofreading, and maintaining organized records to support office efficiency
Skills
- Proficiency in QuickBooks, Microsoft Office (Word, Excel, PowerPoint), Microsoft Outlook Calendar, Google Workspace, and DocuSign
- Strong clerical experience with data entry, filing, and bookkeeping skills
- Excellent customer service skills with professional phone etiquette and organizational abilities
- Experience working in an office environment or front desk setting with multi-line phone systems
- Exceptional organizational skills with attention to detail for proofreading and document management
- Ability to handle multiple tasks efficiently while maintaining a high level of accuracy
- Strong communication skills both verbal and written for effective interaction with clients and team members
- Prior administrative or office experience is preferred but not required; training will be provided for the right candidate
