Job Description
Position Summary
We are seeking a detail oriented and organized professional to support our client's title and closing operations. This role is responsible for managing file progression from processing through closing, including gathering required documentation, coordinating with buyers, sellers, lenders, and realtors, and ensuring all closing requirements are met accurately and on time.
The ideal candidate will have experience in the title, settlement, or mortgage industry, with the ability to interpret title work, manage multiple files in a fast-paced environment, and communicate effectively with internal teams and external partners. This position plays a critical role in ensuring smooth, compliant, and efficient closings while providing administrative and operational support as needed.
Key Responsibilities
- Reviews files after letters have been sent
- Gathers all information from sellers/buyers and orders the necessary documents for closing
- Coordinates closing dates/times with all parties involved including lenders
- Coordinates with realtors to confirm commissions, admin fees, and termite inspections
- Orders homeowner’s association information
- Orders payoff information
- Orders insured closing letter
- Confirms taxes with county/town
- Faxes binders, taxes, insured closing letters, termite, survey and wiring instructions to lenders
- Handles any subordination requests
- Communicates problems to processing team
- Assists Processors with filing, case notes, and e-mail/voicemail messages
- Copies raw title for underwriter
- Notes any outstanding paperwork or issues on files
- May assist with opening case files in Qualia
- Serves as backup to Receptionist for phones, front desk coverage, and general administrative support for office
Qualifications & Experience
- High School diploma required/Associates degree or college work preferred
- Minimum of three years of relevant work experience in the title/settlement/mortgage or other related industry
- Must be comfortable interpreting raw title work from abstractor
- Qualia software proficiency strongly preferred
- Exceptional attention to detail and organizational skills
- Strong written and verbal communication skills
- Ability to manage deadlines in a fast-paced environment
- Fluency in Spanish is desirable
Work Environment & Physical Requirements
- Professional office environment with moderate noise levels
- Regular use of computer, phone, printer, copier, and office software
- Occasional standing, walking, lifting up to 10 pounds
- Extended periods of close computer and document work
