Transport Operations Executive (Fleet & MIS)

Role Description

This is a full-time, on-site role based in Gurugram for a Transport Operations Executive (Fleet & MIS).

The individual will be responsible for managing end-to-end daily fleet operations, reporting, and compliance, including real-time monitoring of vehicles, fuel usage, maintenance coordination, and MIS reporting.

Key responsibilities include:

• Monitoring vehicle overspeed, idle time, and night running reports
• Managing GPS tracking, daily KM reports, and route performance
• Verifying fueling (Diesel/CNG) through CCTV and records
• Conducting daily CCTV camera checks across fleet
• Tracking vehicle documents and compliance validity
• Maintaining fuel data, IGL card reconciliation & logs
• Managing spare parts inventory, bills, and maintenance records
• Coordinating with mechanics, supervisors, and ground staff
• Handling breakdown reports and incident management
• Visiting schools weekly (2–3 visits) for coordination
• Monitoring petty cash, expenses, and vendor payments
• Maintaining tyre, service, and repair records
• Tracking staff overtime, petrol claims & operational data
• Managing daily MIS and monthly reporting systems
• Handling WhatsApp group updates and escalation management

Qualifications

• Experience in Fleet Operations / Transport / Logistics (2–5 years preferred)
• Strong knowledge of fleet management practices and ground operations
• Understanding of transport compliance and regulatory requirements
• Strong analytical and MIS reporting skills (Excel mandatory)
• Experience in operations management and coordination
• Ability to handle real-time operational challenges
• Excellent communication, coordination, and time management skills
• Comfortable working in a fast-paced, on-ground environment

Additional Preference

• Prior experience in school transport / bus operations
• Practical knowledge of vehicle maintenance, fuel systems, and vendor handling
