You will be working as a sharp and organized coordinator directly with the CEO at Handelnine Global. Your responsibilities will span across recruitment coordination, office and company administration, and Founder's Office support. This role is crucial as you will be at the core of the company's operations, managing hiring processes, ensuring smooth office and admin operations, and supporting the CEO in various tasks such as scheduling, travel arrangements, stakeholder coordination, and driving key initiatives forward.
Key Responsibilities:
- Recruitment Coordination
- Own the end-to-end hiring pipeline which includes posting roles, sourcing candidates, screening applications, scheduling interviews, and managing offers
- Conduct initial screening calls and collaborate with hiring managers and the CEO
- Manage job postings on platforms like LinkedIn, Naukri, and others
- Keep track of candidate progress and report on the status of the pipeline
- Administration & Office Management
- Supervise day-to-day office operations at the BKC headquarters
- Handle vendor management, procurement, and facility-related coordination
- Manage employee onboarding, documentation, records, and compliance matters (PF, ESI, PT)
- Coordinate payroll inputs with the finance team
- Administer leave and attendance tracking
- Founder's Office Support
- Organize the CEO's calendar, travel arrangements, and meeting coordination
- Track action items from leadership meetings and ensure follow-through
- Draft and manage correspondence on behalf of the CEO
- Coordinate with international teams in different time zones (US, UK, India)
- Undertake ad-hoc projects and research tasks as required
Qualifications Required:
- 37 years of experience in a coordination-heavy role such as recruitment, executive assistant, office manager, or Founder's Office
- Exceptional written and verbal communication skills as you will be representing the CEO externally
- Highly organized with the ability to manage multiple workstreams simultaneously
- Proactive mindset with the ability to anticipate next steps without explicit instructions
- Proficient in tools like LinkedIn Recruiter, Naukri, Google Workspace, and project management tools
- Must be based in Mumbai and willing to work full-time from the BKC office
