Hiring Requirement – Tender Executive / Tender Manager
Department: Solar EPC Tendering
Location: Bhilwara, Rajasthan
Salary Range: ₹70,000– ₹100,000 per month
Experience: Minimum 7–8 years in Solar EPC / Electrical / Renewable Energy tendering
Joining Condition: Candidate must be ready to shift to Bhilwara
Role Purpose
We are looking for a responsible and experienced Tender Executive / Tender Manager who can take complete ownership of the tendering department. The candidate should not only prepare documents but should be able to identify good opportunities, analyse tenders commercially and technically, coordinate with internal teams, attend pre-bid meetings, participate in reverse auctions, and complete the full tender cycle independently.
This role requires a person with strong ownership attitude, deadline discipline, documentation accuracy, and practical understanding of solar EPC tenders.

Key Tasks / Responsibilities
The selected candidate will be assigned complete responsibility for:
1. Tender Search and Identification
- Regularly search solar EPC, rooftop solar, ground-mounted solar, captive solar, open access, PSU, DISCOM, government, and private tenders.
- Track tenders from GeM, e-procurement portals, SECI, NTPC, NHPC, Railways, DISCOMs, state renewable agencies, and private platforms.
- Shortlist tenders suitable for the company based on eligibility, location, project size, and commercial viability.
2. Tender Analysis
- Study tender documents end-to-end.
- Prepare a short tender summary for management.
- Highlight eligibility criteria, required documents, EMD, PBG, turnover requirement, experience requirement, payment terms, LD, O&M scope, warranty, timeline, risks, and major conditions.
- Clearly recommend whether the company should participate or not.
3. Documentation and Bid Preparation
- Prepare complete technical, commercial, and financial bid documents.
- Arrange company credentials, work orders, completion certificates, CA certificates, GST, PAN, CIN, MSME, ISO, declarations, affidavits, power of attorney, board resolutions, and all tender-related documents.
- Prepare compliance sheets, deviation sheets, technical datasheets, make list, BOQ formats, and supporting annexures.
- Ensure zero documentation errors before submission.
4. Internal Coordination
- Coordinate with management, design, procurement, accounts, finance, legal, and execution teams.
- Collect costing inputs, technical details, vendor quotes, project references, certificates, and approvals on time.
- Follow up strongly with all departments without waiting till the last date.
5. Pre-Bid Meeting and Clarifications
- Prepare pre-bid queries.
- Attend online/offline pre-bid meetings.
- Understand client clarifications, corrigendum, amendments, and addendums.
- Update the bid documents accordingly.
6. Online Submission and Portal Handling
- Handle e-tender portals independently.
- Upload documents correctly.
- Manage DSC-based submission.
- Coordinate EMD/tender fee/BG/DD/online payment requirements.
- Ensure submission is completed before deadline without last-minute mistakes.
7. Reverse Auction / Reverse Bidding
- Participate in reverse bidding.
- Coordinate live with management during auction.
- Understand base price, limit price, margin, and bidding strategy.
- Track competitor movements and submit bids carefully.
8. Post-Bid Follow-Up
- Track technical bid opening, financial bid opening, reverse auction, LOA/LOI, agreement signing, PBG submission, and project handover.
- Maintain proper record of all submitted tenders.
- Prepare MIS for submitted, pending, won, lost, and upcoming tenders.

- Strong knowledge of solar EPC tendering process.
- Understanding of rooftop solar, ground-mounted solar, captive solar, open access, and O&M tenders.
- Knowledge of solar components such as modules, inverters, MMS, cables, transformers, HT/LT panels, SCADA, earthing, LA, civil works, installation, testing, and commissioning.
- Ability to read and understand BOQ, scope of work, technical specifications, SLD, drawings, eligibility conditions, and contract clauses.
- Experience in government and private tender portals.

- Good understanding of EMD, PBG, LD, SD, DLP, O&M, payment milestones, warranty, bank guarantee, and contract obligations.

- Ability to prepare professional tender summaries and comparison sheets.
- Ability to maintain a proper database of certificates, credentials, work orders, completion certificates, and standard company documents.
- Strong attention to detail to avoid rejection due to small documentation mistakes.
Commercial Skills
- Basic understanding of costing, BOQ rates, project margins, vendor quotes, payment terms, and risk clauses.
- Ability to compare tender opportunity versus company capability.
- Ability to highlight commercial risks to management before bidding.
- Should not only fill documents but also understand whether the tender is practically workable or risky.
