Your Role
A Gensler Project Accountant will manage financial accounting and analysis for the firm’s projects and business practices, partnering with Studio Directors to ensure fiscal health throughout the life cycle, from due diligence to invoicing and collections.
Responsibilities
- Review and prepare draft invoices, including contracts, consultants, purchase orders, and backup requirements.
- Meet with Project Managers to review draft invoices and discuss project status.
- Provide unposted labor detail reports to PMs and make necessary transfers.
- Review reimbursable and direct expenses billed to projects.
- Attend Project Manager meetings (project start‑up).
- Maintain budgets by accurately accounting project costs vs. billings.
- Follow project close‑out guidelines and update invoice tracking spreadsheet.
- Review AR ledger to ensure proper booking of invoice accounts.
- Manage and maintain deferred revenue.
- Participate in the monthly Project Accountant’s conference call.
- Reconcile consultant expense accounts, review subconsultant contracts, and allocate fees in Vantage Point.
- Track consultant fees against expenses and reimbursables, review consultant invoices with PM for approval, and enter them with correct GL code.
- Reconcile consultant revenue accrual/recognition and provide timely updates on payment status.
- Conduct daily review of aged AR report and follow up on open invoices (over 30‑days, short payment, duplicate).
- Research payment discrepancies and stay abreast of AR issues.
- Conduct monthly audits to ensure project financials are accurately stated.
- Maintain updated project information in Vantage Point and track billing fees.
- Ensure accurate filing system and file work authorizations/contracts in network folder.
- Review project pipeline data for consistency with staffing and revenue plan.
- Conduct consultant coordination start‑up meetings and resolve close variances.
- Lead Finance 101 meetings for assigned studio.
Qualifications
- Accounting or business administration degree.
- 3‑6 years of experience in a professional services environment, preferably architecture or interior design.
- Highly organized, detail oriented, self‑starter, and team player.
- Proficient in Excel; prior experience with Deltek Vision software preferred.
- Strong interpersonal and communication skills.
- Ability to ask pertinent questions, require accurate information and provide documentation.
- Deep understanding of accounting principles and Gensler’s systems.
- Strong financial analysis and balance‑sheet reconciliation skills.
- Some people‑management experience (coaching, feedback).
- Excellent references attest to work quality and personal contributions.
