Transportation DRI

Job Purpose To manage transportation planning, routing optimization, MIS reporting, and VMS operations while ensuring cost efficiency, compliance, and smooth fleet & driver management.

Key Responsibilities

1. Routing & Planning

• Perform route optimization and shift-based route planning.
• Develop contingency plans for transport disruptions.
• Conduct data-driven route analysis to improve efficiency and reduce costs.

2. Resource Planning & Operations

• Manage fleet allocation and ensure optimal vehicle utilization.
• Handle driver management including allocation and shift planning.
• Monitor and control transportation costs.
• Coordinate with transport vendors for smooth operations.

3. MIS, Reporting & Data Management

• Collect, compile, and maintain transportation data.
• Prepare daily, weekly, and monthly MIS reports.
• Perform data analysis to support operational decisions.
• Develop dashboards and presentations for management review.

4. Reconciliation & Controls

• Verify trip sheets and validate deployment data.
• Perform invoice vs deployment reconciliation.
• Cross-check vendor billing and ensure accuracy.
• Manage penalty calculations and deductions.
• Maintain high accuracy and control over all transport data.

5. VMS (Vehicle Management System) Operations

• Manage VMS operations including data entry and updates.
• Track fleet status (active vs inactive vehicles).
• Map drivers to vehicles and update shift allocations in VMS.
• Upload and maintain deployment data in the system.
• Generate VMS-based reports (daily, weekly, monthly, compliance).
• Analyse VMS data to improve operational efficiency.

6. Auditing & Compliance

• Conduct compliance audits:
• Vehicle documentation verification
• Driver document validation
• Alcohol testing compliance monitoring
• Perform fleet and deployment audits:
• Validate actual vs planned deployment
• Check occupancy vs headcount
• Conduct safety audits and ensure adherence to safety protocols.
• Perform incident investigations and Root Cause Analysis (RCA).
• Evaluate vendor performance through audits.
• Maintain audit documentation and reports.

7. Tools & Technical Skills

• Strong working knowledge of Advanced Excel:
• Pivot Tables
• VLOOKUP/ XLOOKUP
• IF formulas
• Data validation
• Experience with VMS tools and dashboard reporting systems.

Qualifications & Experience

• Graduate in any discipline (Logistics / Operations preferred).
• 2-6 years of experience in transportation, logistics, or fleet operations.
• Experience in MIS reporting and vendor coordination preferred.
