The Administrative Assistant supports FBA members, staff, and the board of directors. This is a remote position and can be based anywhere in Atlantic Canada. This position is for a 3-year contract with the possibility of renewal based on future funding.

Responsibilities
Administrative Support:
- Provide general administrative support to the FBA team and the board of directors.
- Coordinate communications to members and staff such as memos, newsletters, campaigns, emails, and other notices/updates.
- Schedule board and committee meetings.
- Manage SharePoint and CRM (Member 365) platforms to upload newsletter content, create registrations for events and training, etc.
- Arrange travel and submit expense forms.
- Identify and implement organizational and process improvements.
- Act as a main point of contact for members and suppliers.
- Assist with hosting company events and other projects.
- General office duties including managing administrative email and traditional mail, maintaining and organizing a filing system, preparing documents, etc.
- Manage FBA phone line and respond to inquiries in person, by telephone, and by e-mail. This includes member IT issues with a CRM.
- Other duties as required.
Bookkeeping:
- Match invoices to purchase orders.
- Perform data entry.
- Assist with the processing of accounts payable and receivable.
- Submit claims and financial reports using financial software.
Other duties as required and/or requested.
Qualifications
- 3-5 years administrative experience (preferred).
- Completion of a business or office administration program will be considered an asset.
- Excellent interpersonal and communication skills, both verbal and written.
- Customer service excellence orientation.
- Able to multi-task, organize, plan, and prioritize work.
- Ability to demonstrate flexibility and adapt when changes emerge.
- Excellent attention to detail and focus on accuracy.

$40 000 - $49 500
