The Opportunity: Our Operations Backbone
We are searching for an incredibly organized, proactive, and detail-obsessed Administrator/Coordinator who will serve as the "glue" holding our creative engine together. In this part-time position, you will be the central support system that allows our founders and artists to focus entirely on the art. You are the operational hero who ensures smooth processes, financial clarity, happy client relationships, and improves systems over time.
Key Responsibilities
Operational Flow & Project Management
- File & Asset Management: Establishing and maintaining organized digital filing systems for artwork, contracts, and client assets.
- Resource Scouting: Helping the Art Director source and vet high-quality freelance talent.
Finance & Administration Support
- Billing Cycle Management: Generating client invoices, tracking payments, and handling all necessary follow-up communication.
- Payroll Support: Calculate payout amounts for employees and freelancers based on project completion and hours
- HR Support: Managing the logistics of employee leave requests and employee payroll.
Business Development Support
- Business Support: Preparing initial proposals and supporting the Art Director, including marketing, project proposal drafting across platforms, and other business development activities as needed.
Qualifications
Must Haves
- Excellent written English — clear, professional, and warm in client-facing communication
- Highly organized with strong attention to detail; nothing slips through the cracks
- Proactive mindset — you anticipate needs and act before being asked
- Comfortable working independently with minimal hand-holding
- Proficient with Google Workspace (Sheets, Docs, Drive, Calendar, Gmail)
Nice to Have
- Experience supporting a creative studio, agency, or small business
- Familiarity with Upwork, freelancer platforms, or creative project workflows
- Basic understanding of invoicing, contracts, or accounts management
