Training Administrator

Bookkeeping · Compliance · Operations Support

At Dynamic Rescue Systems, we deliver world-class technical rescue training — swiftwater, rope, confined space, and beyond — to the fire departments, SAR teams, and industry professionals who depend on it. Behind every course that runs without a hitch, every certificate issued on time, and every invoice that lands correctly, there is a sharp, organized, and deeply dependable administrator making it happen.

This isn't a front-counter role. It's a mission-critical behind-the-scenes position where your precision, reliability, and collaborative spirit directly support the work our instructors do — and by extension, the safety of people in the field. WHAT YOU'LL DO

Training & Operations Support

You're the engine room that keeps our training courses running on time and on point. You'll work closely with our instructors and admin team to make sure every job is prepped, documented, and ready to deliver.

Prepare all documentation and course materials ahead of scheduled training

Coordinate with instructors and staff to ensure seamless course delivery

Maintain precise course records and training documentation

Identify and contribute to process improvements that make the whole team stronger

Bookkeeping & Financial Administration

You'll own the financial paper trail — accurate, timely, and clean. We use QuickBooks Enterprise and need someone who knows it well and respects its discipline.

Prepare and issue client invoices

Post payments and reconcile accounts

Process contractor payments accurately and on schedule

Maintain financial records and assist with month-end procedures and internal reporting

Health, Safety & Quality Compliance

We operate in a regulated, safety-critical industry. Our compliance documentation needs to be airtight — because our clients' auditors and ours depend on it.

Maintain and manage client-required compliance documentation

Coordinate external safety and quality audits

Support health & safety program documentation and tracking

Ensure adherence to regulatory and quality standards

WHO YOU ARE

You don't need a rescue background — but you do need to bring the same standards to your work that our instructors bring to theirs. We're looking for someone with:

Formal bookkeeping education and solid hands-on experience

Strong working knowledge of QuickBooks Desktop/Enterprise

High proficiency in Microsoft Office and Google Workspace

Exceptional organizational skills and genuine attention to detail

The ability to manage competing priorities without dropping the ball

Experience with health & safety documentation or quality management systems (strongly preferred)

A team-first mindset — you communicate clearly, support your colleagues, and lift the room

A willingness to roll up your sleeves and take shared ownership of outcomes
