Job Summary
The lead Deputy Clerk performs a wide variety of clerical and courtroom duties of the Court by following established policies and procedures based upon Virginia statutes, rules, and local ordinances.
The Lead Deputy Courtroom Clerk provides administrative support in and out of the courtroom to judges, internal and external partners, and the management team but specific duties include assistance when the regularly assigned courtroom deputy or supervisor is not available. This position calls for accuracy, diplomacy, and sensitivity in dealing with judges, attorneys, members of government agencies, and the public. A lead deputy clerk works with meticulous attention to detail, create systems to organize and prioritize tasks, and communicate with calm and confidence.

Essential Duties & Responsibilities
The lead deputy clerk must possess the strong ability to lead, instruct, train and direct the deputy clerks of court, all under the supervision of the designated supervisor. In the absence of the supervisor the lead deputy clerk will be tasked with the responsibility of ensuring that the day-to-day operations of the court/division are carried out and goals are met. Duties include preparing detailed court documents in accordance with established guidelines, automated case management system data entry, scheduling matters for court, preparing correspondence, filing court documents, daily docket preparation and attending court sessions. Additional responsibilities include answering phones, assisting customers at the counter, assessing fines and costs, and receipting payments. Must be able to multitask and assume additional responsibilities as assigned by management.
Primary duties but are not limited to lead courtroom deputy clerks are responsible for managing judges’ cases by:
- Scheduling hearings, trials, and conferences, and coordinating presence in courtroom of parties, attorneys, jurors, other court staff, and members of other court-related agencies.
- Assisting with Quality assurance of case files.
- Management of courtroom prep process and procedures
- Assist in with review of policies and procedures to aid proficiency in courtroom training manuals and handouts
- Clean-up of out of court time sensitive task to include protective orders and jail card process and procedures
- Creating documents to record pertinent results of courtroom proceedings.
- Docketing court orders in the electronic docketing system and monitoring the filing of documents to ensure timely filing by parties.
- Responding to inquiries from attorneys, self-represented litigants, agencies, and the public, and acting as liaison between these individuals and the judge.
- Any additional duties as assigned
Minimum Qualifications
The most competitive candidates will possess:
Minimum Qualifications/Experience
High School diploma or equivalent required. Most competitive applicants will have considerable court, business, or office related experience. Applicants should be highly organized and possess significant knowledge, skills, and abilities in personnel management, time management, and performance management. Excellent written and verbal communication skills and advanced knowledge of office automation systems and computer software required. Court experience and experience handling money preferred.
Physical Demands and Work Environment
Work is primarily performed in an office and courtroom setting. Duties require the ability to sit, stand, walk, bend, reach, and operate standard office equipment. The employee may be required to lift or carry items weighing up to approximately 10 pounds. Reasonable accommodations may be made.
