Executive Assistant and Office Manager Reporting to: Senior Manager /Associate Director

Work Type & Schedule: Full time, Permanent role; Monday-Friday

cKinetics is looking for a go-getter for overseeing the daily operations of the Company.

The Office Manager is a key support position and entails liaising with different teams, vendors and facility staff for planned as also ad-hoc administrative needs, team travel support, office space maintenance and related tasks.

Office management

Manage the front office including managing calls, visitors, reception area management as also conference room, meeting rooms etc.

Oversee the upkeep of office facilities, office equipment, management of maintenance contracts, sundry procurement support including pantry needs (Groceries, Cutlery, Durables, etc.)

Responsible for calendar management and travel schedules for executive management as needed

Records management and filing support as needed including maintenance of asset registers, purchase indents, purchase orders etc.

Travel coordination

Coordinate and support for all office related travel, visa and hotel needs

Support senior leadership on broader travel related needs

Support the HR team in identification and coordination of venues and related management for team events, offsites etc.

The ideal candidate will be experienced in handling a wide range of tasks and will be able to work independently with little or no supervision.

This person must be exceedingly well organized, flexible and enjoy administrative challenges.

Proven experience in operations management; An excellent grasp of the Microsoft office suite and online tools

The ability to interact with the team (at all levels) in a fast-paced setting, sometimes under pressure, remaining flexible, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality is crucial to this role.

Academic qualifications & Experience

· Bachelor’s Degree or equivalent experience with

· 7+ years of experience in the kind of role described above.

Experience in management consulting, Sustainability and /or Climate tech companies is a plus.
