Job Description
This is a full-time, in-office position responsible for managing accounting functions including accounts payable, accounts receivable, collections, and payroll coordination, along with general office management duties. The ideal candidate has experience in construction or contractor accounting and thrives in a small business environment.
Key ResponsibilitiesAccounting & Bookkeeping
- Manage Accounts Payable (AP): vendor bills, subcontractor payments, expense tracking
- Manage Accounts Receivable (AR): invoicing, progress billing, payment posting
- Handle collections and follow up on outstanding balances professionally
- Maintain accurate financial records in accounting software (e.g., QuickBooks)
- Perform bank and credit card reconciliations
- Assist with job costing and tracking project expenses
- Prepare reports for ownership and accountant as needed
Payroll & HR Coordination
- Coordinate weekly/biweekly payroll for field and office staff
- Track employee hours and ensure accurate reporting
- Assist with onboarding paperwork and employee records
- Coordinate with payroll providers and benefits administration
Office Management
- Oversee daily office operations and administrative functions
- Answer phones, manage email communications, and support customer inquiries
- Coordinate with project managers, vendors, and subcontractors
- Maintain organized filing systems (digital and paper)
- Order office supplies and support general office needs
Qualifications
- 3+ years of bookkeeping experience (construction industry strongly preferred)
- Solid understanding of AP, AR, and collections
- Experience with payroll processing or coordination
- Proficiency in QuickBooks
- Strong organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Excellent communication and customer service skills
- Reliable, trustworthy, and team-oriented
Preferred (Nice to Have)
- Experience with construction accounting / job costing
- Familiarity with AIA billing or progress invoicing
- Experience working in a small business setting
