Role & responsibilities
Administrative Operations
- Manage day-to-day office administration activities.
- Ensure smooth functioning of office facilities, utilities, and infrastructure.
- Monitor housekeeping, security, pantry, transport, and maintenance services.
- Maintain office records, files, and documentation systems.
Vendor &
- Facility Management
- Coordinate with external vendors, contractors, and service providers.
- Negotiate contracts and monitor vendor performance.
- Ensure timely maintenance of office equipment and premises.
- Handle procurement of office supplies and assets.
Team Supervision
- Supervise administrative staff, reception, office assistants, and facility personnel.
- Allocate tasks and monitor performance of support teams.
- Conduct training and ensure discipline and professionalism.
Coordination &
- Support
- Support sales, marketing, HR, finance, and project teams with administrative requirements.
- Organize meetings, conferences, site visits, and corporate events.
- Coordinate travel arrangements and accommodation for management and clients.
Compliance &
- Documentation
- Ensure adherence to company policies and statutory requirements.
- Maintain lease agreements, property records, licenses, and office compliance documents.
- Assist management in audits and reporting activities.
Budget &
- Cost Control
- Prepare and monitor administrative budgets.
- Track expenses and implement cost-control measures.
- Process invoices and ensure timely payments to vendors.
Client &
- Front Office Management
- Ensure professional front-office operations and visitor management.
- Handle escalations related to office administration and customer support coordination.
Preferred candidate profile
- 510 years of experience in administration or facility management.
- Prior experience in the real estate, construction, or infrastructure industry preferred
