Operations Assistant – Full-Time Position

Location: Rosslyn, Arlington, Virginia, USA

(Joint office of Dao Feng & Angela Foundation and Bedrock Foundation)

Reporting Line: Reports directly to the Executive Director of the Joint President’s Office of the two foundations

  • Position Background

Dao Feng and Angela Foundation and Bedrock Foundation entered into a deep strategic partnership in 2025. Through joint governance of their Boards and the establishment of a Joint President’s Office, the two organizations aim to build a significant joint funding platform that operates on biblical principles, advances the conservative movement and the Gospel movement, and safeguards universal values.

To support the joint operations of both foundations, Bedrock Foundation is currently seeking a full-time Operations Assistant. This position is legally housed under Bedrock Foundation, which provides the compensation and benefits package, while the role serves the combined administrative, project support, and operational needs of both organizations.

  • Key Responsibilities

The Operations Assistant, under the leadership of the Executive Director, is responsible for providing operational and self-operated project support to ensure the lawful and compliant implementation of the foundation’s financial management system, travel policy, archives management system, information disclosure system, and meeting system.

The Operations Assistant reports directly to the Executive Director.

Specific duties include

  • Administrative Support for the Executive Director, Board Members, and Volunteers
  • Assist the Executive Director with daily administrative tasks, including schedule management, appointment coordination, travel arrangements (booking flights, hotels, and transportation), and preparation of meeting materials (such as reports and presentation formatting).
  • Provide support for Board meetings, including preparing meeting documents, sending reminders, processing travel reimbursements, and archiving resolutions.
  • Support the volunteer team with recruitment coordination, training material preparation, activity schedule tracking, and handling volunteer inquiries and reimbursements.
  • Document Preparation, Filing, and Records Management
  • Prepare various documents, including contracts, reports, proposals, and internal memos, ensuring they are properly formatted, accurate in content, and aligned with the foundation’s brand standards.
  • Establish and maintain digital and physical filing systems, including classification, scanning, archiving, and backup of documents, with periodic reviews to ensure completeness and confidentiality.
  • Manage records such as donation records, financial receipts, and project documentation using tools like Excel, Google Drive, or dedicated archiving software for organization and retrieval.
  • Management and Maintenance of the Foundation’s Official Website
  • Update website content, including posting news, event announcements, project updates, and donation information, ensuring the information is timely, accurate, and engaging.
  • Monitor website performance, such as checking link validity, optimizing loading speed, and addressing user feedback or technical issues (e.g., coordinating with IT support).
  • Upload multimedia content (images, videos) using a Content Management System (CMS, such as WordPress) and ensure the website follows SEO best practices to enhance visibility.
  • Manage and maintain related recurring paid services, including cloud servers, domain registration, institutional email, Google Drive cloud storage, etc.
  • Daily Office Management (Office Supplies and Facility Coordination)
  • Procure and manage office supply inventory, including stationery, printing consumables, and kitchen supplies, ensuring adequate stock while controlling budgets.
  • Coordinate office facility maintenance, such as contacting vendors for equipment repairs, arranging cleaning services, and handling safety inspections (e.g., fire equipment).
  • Manage visitor reception, including appointment registration, visitor guidance, and maintaining a clean and professional office environment.
  • Office Space Layout and Decoration Design
  • Plan office layouts, including furniture placement, workspace division, and meeting room configuration, to optimize space utilization and employee comfort.
  • Design decoration schemes, such as wall display boards, posters, and digital screens, to showcase the foundation’s mission, project achievements, and partner recognitions.
