POSITION SUMMARY:

This FULL-TIME Administrative Assistant I to serve as the first point of contact for customers and clients visiting the MDOT SHA District 3 Greenbelt Office, and other duties as assigned. This temporary assignment pays $16.63 per hour and is located in Greenbelt, MD.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Serve as the primary front-desk representative and first point of contact for all visitors and callers at the MDOT SHA District 3 Office, delivering courteous and professional customer service at all times.
  • Field a high volume of inbound phone calls from citizens regarding a broad range of transportation-related issues; accurately route, document, and follow up on inquiries in accordance with policies and procedures.
  • Receive, sort, and distribute incoming mail and correspondence; manage outgoing mail as needed.
  • Assist with scheduling and coordination of conference room reservations and meeting logistics.
  • Perform data entry tasks with a high degree of accuracy; input, update, and research data in the appropriate systems to resolve customer issues and requests.
  • Prepare client communications including emails and correspondence via mail merge; assist with tracking invoices and managing departmental budget records.
  • Create and maintain databases, set up new projects, and support document management activities.
  • Process customer inquiries, service requests, and refunds in a timely and professional manner.
  • Participate in staff meetings and departmental planning sessions; contribute to the development of goals, objectives, and improved procedures.
  • Recommend process improvements to increase efficiency and service quality within the department.
  • Collaborate effectively with team members across the division and organization.
  • Perform other related duties as assigned.

REQUIRED SKILLS/ABILITIES:

  • Excellent verbal, written, and listening communication skills in English; ability to communicate effectively with large and small group audiences.
  • Proven, high-quality customer service skills (internal and external customers).
  • Strong multitasking ability with experience managing competing priorities in a fast-paced environment.
  • Ability to analyze situations carefully and adopt appropriate courses of action.
  • Ability to understand and adhere to the duties, methods, and procedures required by the position.
  • Excellent organizational skills and attention to detail.
  • Ability to prioritize tasks and work collaboratively as part of a team.
  • Proficient with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) or related software.

EDUCATION AND EXPERIENCE REQUIREMENTS:

  • High school diploma or equivalent preferred.
  • Prior experience in a call center, front-desk receptionist, or high-volume customer service role strongly preferred.
  • Experience answering phones in a corporate or government office environment is a plus.

PHYSICAL REQUIREMENTS:

  • Prolonged periods of sitting and working on a computer.
  • Ability to work remotely in a secure and distraction-free environment.
  • Ability to pick up employer-provided equipment as required
  • This work schedule is Monday through Friday (8:00am-5:00pm)
