Position Overview
We’re looking for a highly organized, creative, and motivated Event Administrator & Marketing Coordinator to manage event scheduling, logistics, and marketing efforts. This role is essential to ensuring our event teams are prepared, our brand is well-represented, and our marketing campaigns effectively promote upcoming shows and products.
Key Responsibilities
Event Research & Planning
- Research and identify potential events for Astro Vinyl Art to attend and present opportunities to management
- Complete and submit event applications via online, phone, and mail channels
- Maintain up-to-date event details and deadlines in the company’s logistics app
- Collaborate with our software development team to suggest improvements and troubleshoot issues with the logistics app
- Process application fees and manage accounts payable related to event participation
Event Coordination & Logistics
- Schedule and assign staff for event vending, ensuring proper coverage and clear responsibilities
- Oversee all event logistics including insurance, transportation, departure/arrival times, and setup/teardown coordination
- Book accommodations for out-of-town, multi-day events
- Analyze sales data and event statistics to determine optimal booth size, placement, and strategy
Marketing & Promotion
- Collaborate with the social media team to develop content calendars for event promotion
- Assist with creating posts, stories, and graphics for Instagram, Facebook, and other platforms
- Coordinate email campaigns to promote upcoming events and share recaps with subscribers
- Support brand presence by ensuring consistent messaging and visual identity across platforms
- Track marketing performance metrics and adjust strategies for maximum engagement
Administrative & Customer Service
- Complete miscellaneous research projects and office tasks as needed
- Respond to customer inquiries and process orders through Shopify
Qualifications
- Strong organizational and time-management skills
- Excellent written and verbal communication abilities
- Experience in event coordination, marketing, or related fields preferred
- Familiarity with social media platforms, email marketing tools, and basic graphic design
- Comfortable using Google Workspace, Shopify, and other productivity tools
- Ability to work independently and collaborate across departments
Pay: From $15.00 per hour
