Position: Admin & Facilities Manager

Location: Dankuni

Employment Type: Full-Time

About the Role

We are looking for an experienced and dynamic Admin & Facilities Manager to oversee overall administration, facility management, and operational support functions. The ideal candidate will ensure smooth day-to-day functioning of the organization, maintain infrastructure and facilities, manage vendors, and ensure compliance with organizational standards.

This role requires strong leadership, vendor management, operational efficiency, and problem-solving skills, preferably from the hospitality or hotel industry.

Key Responsibilities

Administration Management

  • Oversee day-to-day administrative operations and ensure smooth functioning of the organization.
  • Manage office/campus operations, employee support services, and administrative systems.
  • Develop and implement SOPs and operational policies.
  • Ensure proper maintenance of company assets and infrastructure.

Facilities Management

  • Manage facility operations including housekeeping,security, maintenance, utilities, transport, and guest services.
  • Ensure upkeep of buildings, common areas, equipment, and hospitality infrastructure.
  • Supervise facility vendors, contractors, and AMC service providers.
  • Monitor preventive maintenance and resolve infrastructure-related issues promptly.

Vendor & Contract Management

  • Handle vendor sourcing, negotiations, and contract management.
  • Ensure cost optimization and service quality from vendors and contractors.
  • Maintain relationships with external agencies and service providers.

Compliance & Safety

  • Ensure statutory compliance related to facilities, labor, fire safety, and operational requirements.
  • Maintain safety and security standards across the premises.
  • Coordinate with government authorities and local bodies when required.

Budgeting & Operations

  • Manage administration and facility budgets effectively.
  • Monitor expenses and ensure cost control without compromising service quality.
  • Prepare MIS reports and operational updates for management review.

Eligibility Criteria

Educational Qualification

  • Bachelors degree in Administration, Hospitality Management, Hotel Management, Operations, or related field.
  • MBA/PGDM in Administration or Operations will be an added advantage.

Experience

  • Minimum 20 - 25 years of experience in Administration & Facilities Management.
  • Prior experience in Hospitality / Hotel Industry is mandatory/preferred.
  • Experience in handling large facilities, vendors, and operations management.
