Job Description

The Administrative Assistant provides high-level legal and administrative support to attorneys through the performance of complex administrative, billing, calendar management, and business intake functions. This position requires a minimum of five (5) years of experience as an administrative assistant, preferably within a legal environment. The successful candidate will demonstrate exceptional organizational skills, strong attention to detail, and proficiency with legal and office technology systems.

Key Responsibilities

Primary duties include, but are not limited to, the following:

  • Provide comprehensive legal and administrative support to attorneys
  • File and e-file pleadings in federal and state courts
  • Prepare, file, and serve pleadings and discovery responses under attorney supervision
  • Analyze factual and case-related information under attorney supervision
  • Manage litigation calendars and maintain litigation files, including electronic files and databases
  • Schedule and coordinate meetings, depositions, travel, and conferences
  • Provide case management support as required
  • Calendar court deadlines and maintain accurate attorney calendars
  • Communicate effectively with attorneys, clients, witnesses, court personnel, and opposing counsel
  • Review legal documents, correspondence, and written materials for accuracy, completeness, grammar, and formatting
  • Maintain personal correspondence, billing letters, expense reports, and client documents in accordance with Firm filing standards
  • Maintain daily calendars and manage attorney schedules, ensuring awareness of deadlines and priorities
  • Prepare monthly client billing in accordance with Firm guidelines, including review for edits and corrections
  • Prepare reimbursement and expense requests and track reimbursements through receipt of payment
  • Manage hard-copy and electronic files, including uploading to and downloading from third-party sites and maintaining records within the Firm’s automated records management system
  • Enter attorney time into the Aderant database
  • Open new client and matter files in accordance with Firm procedures
  • Work independently and collaboratively with the Litigation team to ensure high-quality work product
  • Experience with CFIUS case management systems is considered a plus
  • Demonstrate flexibility to work overtime as needed
  • Perform other duties as assigned related to this position

Qualifications

  • Strong organizational skills with exceptional attention to detail
  • Excellent written, verbal, and interpersonal communication skills
  • Professional demeanor with a strong customer-service orientation
  • Ability to maintain positive and productive working relationships with attorneys, colleagues, and clients
  • Proficiency with the Microsoft Office Suite, Outlook, and Adobe software
  • Familiarity with Nuance software preferred
  • Strong problem-solving skills and ability to exercise sound judgment
  • Ability to self-review work product and seek clarification when necessary

Education and Experience Requirements

  • Bachelor’s Degree preferred
  • Minimum of five (5) years of relevant administrative experience, preferably in a legal environment
  • Demonstrated proficiency in Microsoft Office Suite and Adobe software programs

Work Schedule -Full-time position; Monday through Friday, 8:30 a.m. – 5:00 p.m. Overtime may be required.

First 90 days fully in office and then 1 day/week WFH on a rotating schedule
