Allen Insurance Group is seeking a highly organized, detail-oriented and client-focused Receptionist / Account Administrator to support both front-line client service and insurance administration.
A key focus of the position is providing reception support including answering and directing incoming calls, greeting clients and company representatives, accepting payments, organizing mail, and helping create a positive first impression on behalf of the brokerage. This position will also act as backup support to our main receptionist and will assist with managing a high-volume telephone environment when required.
In addition to reception support, this role also assists with insurance administration and policy processing, including organizing and processing personal, commercial, and farm insurance renewals, new business, endorsements, cancellations, invoicing, and related correspondence.

Responsibilities
In this role, you will:
- Answer and direct incoming calls in a professional, timely and courteous manner
- Provide backup support to the main receptionist, including assisting with a high-volume telephone environment
- Greet clients and company representatives in person, by phone, and by email
- Direct clients and company representatives to the appropriate insurance professional
- Accept in-person and electronic payments and issue receipts
- Assist with payment-related processes and balancing petty cash
- Organize and distribute incoming and outgoing mail
- Prepare and process outgoing mail according to urgency, including certified mail and post office drop-offs
- Provide prompt, courteous reception support, including assisting walk-in clients and responding to general inquiries
- Process and organize personal, commercial, and farm insurance renewals, new business, endorsements, cancellations, invoicing, and related correspondence
- Load applications, policy documents, and client information into the brokerage management system, SigXP, and insurer portals
- Maintain accurate electronic filing systems for client documentation
- Provide administrative support to brokers, account managers, reception, and the broader Allen Insurance Group team
- Support onboarding and training of new team members within the department when needed
- Follow established office procedures and contribute to ongoing improvements across the administration division
- Perform additional administrative duties as assigned

- Comfort learning brokerage systems, including SigXP, insurer portals, and internal workflows

- Ability to provide friendly, reliable service to clients, company representatives, and internal team members
- Experience in reception, customer service, administration, or a professional office environment
- Ability to work collaboratively within a team-focused, service-driven environment
