Job Overview

We are seeking a dedicated and motivated part-time Receptionist/Administrative Assistant to join our team in an orthotic and medical equipment/supply office. Applicants must be willing to work every Saturday, plus 2 - 3 weekday shifts per week.

This role is essential to ensuring smooth front desk operations and providing exceptional customer service to our clients and colleagues. The ideal candidate works well in a team-based environment, has a friendly demeanor, and can handle multiple tasks efficiently.

Responsibilities

  • Greet visitors and clients professionally at the front desk, ensuring a positive first impression
  • Answer incoming phone calls in a professional and prompt manner
  • Process payments and coordinate billing and claim inquiries
  • Schedule appointments and maintain calendars to ensure a smooth client experience
  • Review client files to ensure required information and documentation are received and/or scheduled for each business interaction
  • Manage data entry tasks, including updating client files with supporting information and clear notes
  • Ensure clients receive their medical items upon completion of the business process
  • Monitor email, respond to inquiries, and coordinate requests to completion
  • Provide support to colleagues as requested
  • Review problem tickets and communicate resolutions to supporting business areas
  • Maintain a tidy reception area and ensure office supplies are stocked as needed

Experience

  • Some prior office experience is preferred, but not required
  • Excellent attention to detail when managing files and performing data entry tasks
  • Ability to work effectively as part of a team
  • Proficiency in using phone systems and office equipment (e.g., printers, copiers), and the ability to learn new software programs
  • Strong customer service skills and the ability to communicate effectively with clients and team members
  • Professional phone, email and customer service etiquette
  • Organizational skills with attention to detail when managing schedules, files, and correspondence

Schedule

  • Every Saturday for 8 hours + 2-3 weekday shifts
  • This position will begin at up to 28 hours per week, with additional hours potentially available based on business needs

Pay: From $17.00 per hour
