Performs administrative duties in support of the Exchange General Manager (GM)/Distribution Center Manager (DCM).Administrative Classification Standards apply.

THIS POSITION PERFORMS ADMINISTRATIVE DUTIES IN SUPPORT OF THE EXCHANGE GENERAL MANAGER. MUST BE AVAILABLE TO WORK MON-FRI 0730-1600, SOME SATURDAYS AS NEEDED. DUTIES ARE AS FOLLOWS, BUT NOT LIMITED TO, RECEIVES TELEPHONE CALLS AND VISITORS, PROVIDING REQUESTED INFORMATION FROM OWN KNOWLEDGE AND OFFICE FILES OR REFERRING CALLERS TO APPROPRIATE SOURCE. USES A PC FOR DATA ENTRY AND INFORMATION RETRIEVAL USING APPROPRIATE SYSTEMS/SOFTWARE/HARDWARE FOR CORRESPONDENCE, REPORT, ETC. MAY GATHER, ORGANIZE ANALYZE, VERIFY, AND REVIEW DATA. PERFORMS A VARIETY OF COMPLEX ADMINISTRATIVE CLERICAL TASKS. PREPARES REPORTS AND CORRESPONDENCE THAT MAY BE CONFIDENTIAL IN NATURE. SETS INTERNAL PRIORITIES AND SUSPENSES AND DEVELOPS PROCEDURES TO MEET GENERAL ADMINISTRATIVE REQUIREMENTS. UPDATES AND MAINTAINS FILES. RESPONSIBLE FOR ARRANGING APPOINTMENTS AND MEETINGS; PREPARING TRAVEL ORDERS AND MAKING RESERVATIONS AS NEEDED; PROCESSING PAYROLL FOR OFFICE STAFF, MAINTAINING LOG OF USE AND MAINTENANCE FOR EXCHANGE STAFF VEHICLES; ENSURING SECURITY OF DOCUMENTS OR OTHER CONTROLLED ITEMS AS CONSIDERED APPROPIATE IN AN OFFICE ENVIRONMENT. ASSURES COMPLIANCE WITH FIRE, SAFETY, AND SECURITY REGULATIONS. PRACTICES LOSS PREVENTION PROCEDURES AND ALERTS SECURITY AND MANAGEMENT OF POTENTIAL PROBLEMS THAT MAY INVOLVE FRAUD, WASTE, AND ABUSE. ASSIST WITH INVENTORY PROCESSES, MUST BE ABLE TO UTLIZE MICROSOFT SYSTEMS TO INCLUDE ONENOTE. MUST HAVE A VALID DRIVERS' LICENSE.

Job Qualifications

One year of general office experience.

Major Duties

Provides high level of customer satisfaction through excellent service. Greets each customer upon contact and/or line of sight. Keeps their needs foremost and creates a welcoming environment, actively engages, and builds trust relationship with the customer.

Receives telephone calls and visitors, providing requested information from own knowledge and office files or referring callers to appropriate source.

Uses a PC for data entry and information retrieval using appropriate systems/software/hardware for correspondence, reports, etc. May gather, organize, analyze, verify, and review data.

Performs a variety of complex administrative clerical tasks. Prepares reports and correspondence that may be confidential in nature. Sets internal priorities and suspenses and develops procedures to meet general administrative requirements. Updates and maintains files.

May be responsible for arranging appointments and meetings; preparing travel orders and making reservations as needed; processing payroll for office staff; maintaining log of use and maintenance for Exchange/DC staff vehicles; ensuring security of documents or other controlled items as considered appropriate in an office environment.

Assures compliance with fire, safety, and security regulations. Practices loss prevention procedures and alerts security and management of potential problems that may involve fraud, waste, and abuse.

Performs other duties as required.
