Job Description

About the Role

We are a Singapore-based accounting and corporate services firm seeking a reliable, organised, and detail-oriented Remote Admin Assistant to support daily administrative operations, client coordination, document management, payment follow-ups, and company secretarial administration.

This role is ideal for someone who is comfortable handling repetitive follow-ups, managing digital documents, tracking deadlines, and supporting professional services workflows remotely.

Candidates with prior experience in an accounting firm, bookkeeping firm, corporate secretarial firm, or professional services environment will have an advantage.

Key Responsibilities

Client Communication & Follow-Ups

  • Follow up with clients on outstanding documents, approvals, information, and payments
  • Send reminders for bookkeeping, payroll, tax, GST, and compliance-related matters
  • Coordinate client communication using email, WhatsApp, and standard templates
  • Track pending matters and update internal status trackers
  • Escalate urgent or overdue matters to the manager when necessary

Document & Records Management

  • Organise and maintain client documents in Google Drive and internal systems
  • Rename, file, and archive documents according to company procedures
  • Check completeness of client-submitted documents
  • Maintain accurate digital filing for accounting, payroll, tax, GST, and corporate secretarial records

Invoice & Payment Administration

  • Send invoices and statements of account to clients
  • Follow up on overdue payments in line with company policies
  • Update payment records and internal trackers
  • Coordinate with the team to confirm payment status before work commencement

Company Secretarial Administrative Support

  • Prepare standard company secretarial documents using templates
  • Assist with resolutions, consent forms, declarations, and signing documents
  • Support administrative preparation for:
  • Annual Returns
  • AGM matters
  • Director and shareholder changes
  • Share transfers and allotments
  • Registered address updates
  • Organise signed documents and maintain statutory records
  • Update trackers for document status and completion

Accounting & Compliance Administrative Support

  • Assist with bookkeeping and compliance-related admin work
  • Prepare document request lists and client checklists
  • Track receipt of bank statements, invoices, payroll records, and supporting documents
  • Support deadline monitoring for ACRA, IRAS, GST, payroll, and annual filings
  • Assist with simple data entry and reporting tasks

General Administrative Support

  • Maintain templates, forms, letters, and internal trackers
  • Assist with client onboarding and offboarding
  • Maintain updated client contact information and records
  • Provide ad hoc administrative support to the team as required

Requirements

  • Diploma or Bachelor’s Degree in Business Administration, Accounting, Finance, Commerce, or related field preferred
  • Minimum 1 year of administrative, accounting support, virtual assistant, or corporate secretarial experience preferred
  • Strong written English communication skills
  • Good attention to detail and organisational skills
  • Able to work independently in a remote environment
  • Comfortable using:
  • Gmail
  • Google Drive
  • Google Sheets / Microsoft Excel
  • Online task management tools
  • Able to manage repetitive follow-ups professionally and consistently
  • Experience with Xero, QuickBooks, Zoho, CAS360, or client portals is an advantage

Working Hours

  • Full-time remote position
  • Monday to Friday
  • Must be available during Singapore business hours or have substantial overlap with Singapore time
