A national, not-for-profit organization is seeking a detail-oriented professional to support accounting and office administration functions.

Confidential Opportunity - Accounting and Office

Administrator Location: Toronto, ON (in-office, 5 days a week)

Salary Range: $55,000–$65,000 per year + benefits and paid vacation

Job Type: Full-time, permanent position (1 role available)

About the Role The successful candidate will support day-to-day accounting activities and contribute to smooth office administration. This role involves maintaining accurate financial records, supporting month-end processes, and providing administrative coordination across the organization.

Key Responsibilities

Accounting Activities

  • Support core accounting functions across accounts payable and receivable, including processing and reconciling invoices, maintaining accurate financial records, and managing payment transactions.
  • Monitor outstanding accounts, prepare bank deposits, and support reporting processes.
  • Contribute to month-end and quarter-end activities such as journal entries, bank reconciliations, fixed asset tracking, and financial reporting.

Office Administration Activities

  • Provide comprehensive administrative and office support to ensure smooth day-to-day operations.
  • Responsibilities include:
  • Greeting visitors.
  • Coordinating and maintaining office operations, such as equipment, supplies, and kitchen inventory.
  • Performing general administrative tasks, including photocopying, scanning, managing mail and couriers, and maintaining postage records.
  • Overseeing facility and property management, workplace safety, and ensuring appropriate furniture and equipment are in place.
  • Coordinating and executing internal and external meetings and events by preparing materials, organizing logistics, and setting up meeting spaces.
  • Providing administrative support to executives, board members, and staff.
  • Contributing to special projects and other duties as assigned.

Qualifications

  • Language: Fluency in English; French is an asset
  • Experience:
  • 3–5 years in an equivalent role involving accounting support, accounts payable/receivable, bookkeeping, and office administration.
  • Experience as an office manager and/or executive assistant is an asset.
  • Skills:
  • Strong analytical and organizational skills.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Competency in Microsoft Dynamics CRM and Microsoft Business Central.
  • Strong written and oral communication skills; ability to communicate effectively and professionally with minimal supervision.
  • Strong time-management skills.
  • Ability to work independently and within a team environment.

Education and Other Training

  • Strong knowledge of GAAP.
  • Bookkeeping diploma or certificate (1–3-year post-secondary program).
  • Courses or certificates in financial management for non-profit organizations and payroll are considered an asset.
